Terms & Conditions of Booking
1. Agreement
By submitting a booking request to FlySaudi (“the Company”, “we”, “us”, or “our”), you (“the Client”, “customer”) acknowledge that you have read, understood, and agree to be legally bound by these Terms and Conditions in their entirety. A contract between the Client and the Company is formed only upon the Company’s receipt of a non-refundable deposit and issuance of a booking confirmation. It is the Client’s sole responsibility to ensure all travellers are aware of and accept these terms.
2. Booking & Payment
a. Deposit: A non-refundable deposit of 50% of the total booking value is required to secure a booking. This secures the reservation but not the final fare, which is subject to change until full payment is received.
b. Balance: The full and final balance must be paid by the date specified in your booking confirmation, which will be no less than [e.g., 12 weeks] prior to departure. Failure to comply may result in automatic cancellation of the booking with loss of deposit and the application of cancellation charges.
c. Price Changes: All quoted prices are subject to change due to currency fluctuations, changes in airline tariffs, taxes, or fuel surcharges until the booking is paid in full and tickets are issued.
3. Passport, Visa & Health Requirements
a. Validity: The Client must possess a full, valid passport with a minimum validity of 6 months from the date of departure. The Company recommends 8 months.
b. Visas: It is the Client’s exclusive responsibility to obtain and pay for all required visas, inoculations, and travel documents. The Company can provide guidance, but ultimate responsibility rests with the Client.
c. Submission: Passports, necessary photographs, and any other required documents must be submitted to the Company at least one month prior to departure. The Company is not liable for any loss or delay of documents sent by post or courier.
d. Umrah/Hajj Visas: These are granted solely at the discretion of the Saudi authorities. The Company cannot guarantee issuance and will not be liable for any refunds, in full or in part, if a visa is refused or delayed for any reason.
e. Health: Clients must ensure they meet all health and vaccination requirements for Saudi Arabia. The Company is not liable for any costs or denials of travel resulting from failure to comply.
4. Travel Arrangements
a. Flights: Flight timings, aircraft types, and routes are subject to change by the airline. The Company is not liable for schedule changes, delays, or cancellations imposed by an airline but will assist clients in liaising with the carrier. Reconfirmation of all flights with the airline 72 hours before departure is mandatory.
b. Baggage: Baggage allowances are set by the airline and are the Client’s responsibility to verify. The Company is not liable for loss, damage, or delay of baggage.
c. Accommodation: Hotel ratings are based on local standards. Specific room types, views, or early check-in/late check-out cannot be guaranteed and are subject to availability on arrival. If a confirmed hotel becomes unavailable, the Company will provide accommodation of a similar standard.
d. Meals & Special Requests: While special requests (e.g., dietary meals) will be forwarded to suppliers, the Company cannot guarantee their provision.
5. Changes & Cancellations by the Client
a. Changes: Any request to alter a booking after confirmation is subject to availability and will incur an administration fee plus any additional charges levied by suppliers.
b. Cancellations: All cancellations must be received in writing. The following charges will apply:
* Before ticket issuance: Loss of 100% of deposit.
* After ticket issuance: Charges as per the airline’s and other suppliers’ cancellation policies, plus an administration fee.
c. Refunds: No refunds will be given for any unused portions of the tour (e.g., accommodation, transfers, meals). Processing of any eligible refund may take 30-40 days.
6. Changes & Cancellations by the Company
The Company reserves the right to modify itineraries or cancel tours due to force majeure events (including but not limited to war, terrorism, natural disasters, pandemics, airline failures, or significant changes in Saudi government regulations). In such cases, the Company will offer alternative arrangements of comparable standard or a credit note. A cash refund will only be provided after deducting any non-recoverable costs paid to suppliers.
7. Financial Protection
FlySaudi is a trading name of Dar AlFaisal Business Group Ltd. Registered in England No. 10684883. We hold Air Travel Organiser’s Licence (ATOL) number 11391 issued by the Civil Aviation Authority (CAA).
When you buy an ATOL-protected flight or package from us, you will receive an ATOL Certificate. This provides financial protection in the event of our insolvency. For more information, visit www.atol.org.uk.
8. Liability
a. The Company acts as an agent in arranging flights, accommodation, and other services and shall not be held liable for any injury, loss, damage, accident, delay, or irregularity arising from the fault or negligence of any third-party supplier (e.g., airlines, hotels, coach companies).
b. The Client is strongly advised to take out comprehensive travel insurance that includes cover for medical expenses, personal accident, repatriation, cancellation, curtailment, loss of baggage, and money.
9. Conduct & Local Laws
Clients are required to comply with the laws, customs, and religious practices of the United Kingdom and Saudi Arabia. The Company accepts no liability for any consequences arising from a Client’s failure to do so.
10. Complaints
Any complaint must be brought to the immediate attention of our local representative and the Company’s head office during the trip to allow for a swift resolution. Failure to do so may affect your rights under this contract. Any formal complaint must be submitted in writing to the Company within 21 days of the event or within 7 days of returning from your pilgrimage.
11. General
a. Mehram Policy: Female pilgrims under the age of 45 must be accompanied by a Mahram. Proof of relationship (marriage or birth certificate) and a notarised Non-Objection Certificate (NOC) may be required.
b. Non-Muslim Names: Clients with names that are not identifiably Muslim must provide a certificate from a recognised Islamic centre confirming their faith.
c. Non-UK Nationals: Must hold a valid UK residency permit and are responsible for providing any additional documentation required.
d. The Company reserves the right to amend these Terms and Conditions at any time. The terms applicable to your booking are those in effect on the date your deposit is received.
